HP have released the first service pack in the TRIM 7.2 series.
The software is available for client and partner download at http://h2030.ww2.hp.com/selfsolve/document/FID/DOCUMENTUM_TRIM00014
This first minor minor release of Version 7.2 is part of the planned release cycle and includes fixes to some of the problems that have been reported, but also includes improvements based on findings during the ongoing testing by the HP TRIM product quality assurance team.
HP TRIM 7.2 is all about scalability for the Enterprise – both large numbers of users and large numbers of documents.
The development and compilation of this minor minor release has been undertaken using Microsoft’s latest development environment. This means that to deploy this release you will require Windows Installer 3.1 as a minimum. If this version is not present in your environment, an update pack can be downloaded from the Microsoft Web site.
This minor minor release includes all fixes and enhancements that were shipped in the previous release. For details of the previous release, please refer to the relevant release notes. For details on fixes to HP TRIM 7.21, please refer to the TRIM7.21_Fixes.htm file. For technical details refer to TRIM7.21_Spec.pdf and TRIM7.21_Install.pdf
New HP TRIM 7.21 Features
Desktop Add-in
In previous releases, when HP TRIM was integrated with an ODMA-compliant version of Microsoft Office (pre-Office 2007), users were able to insert pictures, text or files from HP TRIM to ODMA-compliant Microsoft applications. This functionality was linked to ODMA so when Microsoft moved away from ODMA the functionality was lost to HP TRIM users. In HP TRIM 7.21, the ability to insert pictures, text or objects from HP TRIM has been reintroduced for Office 2007 and onwards.
Functionality
In HP TRIM 7.1.1, an HP TRIM tab was added to MS Office applications with 2 buttons:
- Record Properties – if the open document is an HP TRIM document, users can view the properties of the document by clicking the Records Properties button.
- Make Final – if the open document is an HP TRIM document that was opened from within the MS Office application, the record can be made final by clicking the Make Final button.
In HP TRIM 7.21, 3 new buttons have been added to the HP TRIM tab (see Figure 1 – HP TRIM tab in Microsoft Word 2010 below). Using the buttons in the tab users will be able to:
- Picture – select a picture from HP TRIM and insert it into a document.
- Text from File – select a file from HP TRIM and insert it as text into a document.
- Object – select a file from HP TRIM and insert the file as an embedded object into a document.
Default Searches
When inserting a picture, Text or embedding an Object from HP TRIM, a default search is opened. By default, HP TRIM searches for all appropriate file types for the selected action, e.g. image formats when inserting a Picture, text formats when inserting Text and all electronic documents when inserting an Object, in the user’s Recent Documents tray. Users can refine the search if required.
HP TRIM Web Client
Preview Pane
In previous releases of the HP TRIM Web Client, to view the content of an electronic record, users had to download the document by using either the View or Check-out menu options. Both of these options require the native authoring application to be installed on the user’s computer.
In the 7.21 version of the HP TRIM Web Client a new Preview Pane has been introduced. This Preview Pane enables users to quickly view a single electronic document without having to download the entire document. This feature also always users to view the electronic document without having to install the native authoring/rendering applications on their computer.
The Preview Pane can be maximized to view the document across the entire HP TRIM Web Client window, or the pane can be resized to suit the user’s requirements.
Users can download the document from the Preview Pane if required.
HP TRIM Core Product
Re-introduction of Windows XP Support
Support for Windows XP was dropped from the initial HP TRIM 7.2 release based on Microsoft ceasing Mainstream Support during 2011. As a result of the feedback we received we have re-introduced support for Windows XP Service Pack 3 for the HP TRIM client only in the HP TRIM 7.21 release.
Support for Kofax 10
The 7.21 release of HP TRIM includes support for Kofax 10.
HP TRIM Web Client on iPad
In version 7.21, HP TRIM users will be able to use an Apple iPad to perform End User tasks on the HP TRIM Web Client. To access the HP TRIM Web Client, users will specify a URL within the iPad browser (Safari) and enter valid user credentials for authentication.
The HP TRIM Web Client support on an iPad is primarily focused towards data consumption as opposed to creating or modifying existing content which is available on desktop environments. Moreover, the HP TRIM Web Client on iPad allows users to perform similar functionality to that of the HP TRIM Web Client running on desktop environments, such as create new records, modify/view existing record metadata, change assignee, view electronic attachments, etc. but users will not be able to create electronic records due to device limitations.
For further information on the HP TRIM Web Client on iPad please see TRIM7.21_WebClient_iPad.pdf
SharePoint Integration
The HP TRIM Asynchronous Processing feature
The HP TRIM Asynchronous Processing feature has been added to this release. Asynchronous processing allows time consuming management and configuration tasks to be created as jobs that are executed behind the scenes. This prevents the need for users to have to wait for these jobs to complete prior to continuing with their work. This feature improves the performance of the integration by “throttling” these types of tasks and flattening the use of system resources during peak times. When activated, the following actions are performed asynchronously:
- Applying a management process (manage, finalize, relocate or archive) to:
- More than 1 list item
- One or more Folders in a list
- A list
- A site
- Applying LMPs:
- Site level LMPs – both “Individual” and “All at Once” application models
- List level LMPs – “Individual” application model only
- Propagating configuration
- Recalculating Exposure across the entire site collection (as instigated upon saving the RT2CT or Column to HP TRIM Field mapping pages)
When an action is performed asynchronously, a “job” is added to the “HP Queued Jobs”. This job will be processed the next time jobs are processed. The “HP Job Queue” timer job is used to instigate processing of jobs.
The HP Queued Jobs list can be accessed to view the progress of jobs.
A list item that is scheduled to be finalized or archived will be prevented from being modified even if the job has not executed yet.
HP TRIM Columns Feature
In previous releases of the HP TRIM SharePoint Integration, whenever the HP TRIM Records Management of HP TRIM Site Management features were activated, a collection of site columns were automatically created. These site columns represent fields in HP TRIM and are automatically mapped to the relevant field in HP TRIM.
In HP TRIM 7.21, this functionality has been separated into a feature called the HP TRIM Columns Feature. This has been done to alleviate issues some customers experienced with configuration propagation. In essence, this issue occurred if the records management feature was activated on 2 different site collections and one of these site collections acts as a content type hub for the other. When SharePoint attempts to propagate content types that include any of the HP TRIM columns, it attempts to recreate these columns on the subscribing site collection and fails (because it already exists).
Separating out the column creation into a dedicated feature allows you to have the records management feature active on all site collections, without the automatic creation of the HP TRIM columns. This prevents the SharePoint conflicts occurring when propagating content types that use HP TRIM columns.
File movements
The location of most of the solution files have changed in the 7.21 release of the HP TRIM SharePoint Integration:
- Files that were previously in the layouts directory have been moved to layouts\HPIntegration.
- Files in the ISAPI directory are now under ISAPI\HPIntegration.
- Assemblies that were previously in the bin directory for a web application now reside in the Global Assembly Cache (GAC).
This movement results in the HP.HPTRIM.SDK.dll assembly residing in the GAC. If deploying custom solutions that utilize the SDK it is recommended to confirm that they continue to work with SDK in this location.
Removal of security policy
With the removal of assemblies from the bin directory, there is no longer a requirement for a security policy to be applied to SharePoint; as a result this has been removed in 7.21.
Enterprise library version 5
The HP TRIM SharePoint Integration utilizes the Microsoft Enterprise Library. In the 7.21 release, the Integration includes an upgrade to version 5 of the MS Enterprise Library. As a result, many of the originally required web.config changes have been removed from the product.
Enabling local processing of events
Previous versions of the HP TRIM SharePoint Integration deployed the necessary files for a local Workgroup Server to handle SharePoint events. With the 7.21 version, if you have a Workgroup Server running locally on a web front end, to allow that Workgroup Server to process HP TRIM events relating to SharePoint, you must install the HP TRIM Remote Workgroup Server MSI on that server.
